Role Overview
We are seeking a highly organised, experienced, and proactive Regional Events & Trips Co-ordinator to take full responsibility for planning and managing events, educational tours, team-building programmes, and experiential trips throughout an assigned region.
This is a senior regional role suited to someone who can confidently manage everything from sourcing venues and planning activities to overseeing logistics, supplier relationships, safety compliance, and on-site event delivery. The successful candidate will also play an important role in growing and strengthening our regional supplier network while ensuring every programme delivers an exceptional customer experience.
Key Responsibilities
Event & Trip Planning
- Research and identify suitable venues, destinations, attractions, and activity providers within the assigned region
- Design detailed itineraries and experiential programmes
- Tailor experiences to client objectives, learner age groups, and event requirements
- Continuously source new and exciting destinations and experiences
Regional Supplier & Partner Management
- Develop and maintain strong relationships with regional venues, transport providers, accommodation establishments, caterers, and activity operators
- Negotiate favourable pricing and service agreements
- Conduct regular site inspections to assess quality, facilities, accessibility, and safety
- Capture professional photos and videos of venues and activities for customer proposals, social media, and marketing campaigns
Logistics Co-ordination
- Manage transport, accommodation, catering, schedules, staffing, permits, and bookings
- Ensure all confirmations, quotations, and operational documentation are accurate and completed on time
- Prepare comprehensive event briefs and operational plans for facilitators and support teams
Safety & Compliance
- Conduct venue and activity risk assessments
- Ensure suppliers comply with company safety standards and operational requirements
- Maintain emergency procedures and incident response plans for all regional events
On-Site Event Management
- Lead and oversee the successful delivery of events and trips throughout the region
- Act as the primary point of contact during programmes
- Resolve operational challenges quickly and professionally
- Ensure exceptional customer service throughout every event
Client & Internal Communication
- Build strong relationships with schools, corporate clients, and community organisations
- Provide timely quotations, confirmations, updates, and post-event follow-up
- Work closely with facilitators, operations, sales, and marketing teams to ensure seamless programme delivery
Regional Business Development
- Identify new venue, activity, and partnership opportunities within the region
- Assist in expanding the regional events portfolio
- Support regional marketing initiatives through content collection and local networking
Travel Requirement
This role requires frequent travel throughout the assigned region for:
- Venue inspections
- Supplier meetings
- Client visits
- Event supervision
- Content creation
- Quality assurance
Occasional travel outside the region may be required for training or company events.
Requirements
- Proven experience in event management, tourism, hospitality, logistics, educational programmes, or experiential event planning
- Excellent organisational and project management skills
- Strong negotiation and relationship-building ability
- Outstanding communication and customer service skills
- Ability to manage multiple projects simultaneously
- High attention to detail and strong problem-solving ability
- Self-motivated and capable of working independently
- Valid South African driver's licence

Role Overview
The Regional Office Manager & PA to the National GM is a dual-function position for a proactive all-rounder. You will manage the daily operations of our Umhlanga office while acting as the dedicated Personal Assistant to the National General Manager whenever he operates within the KZN region.
This position bridges high-level executive support, office administration, venue vetting, and field logistics to ensure every school outing and corporate event across KZN runs seamlessly.
Key Responsibilities
1. Executive PA Support (Dual Role)
Provide dedicated PA support to the National GM during regional working visits, managing schedules, travel, and local logistics.
Serve as the GM’s primary administrative liaison and operational proxy in KZN when central leadership is working remotely from head office.
